How to Create,Send and Receive Email Messages in Outlook 2013
Microsoft Outlook is one of the preferred email clients used to send and receive emails by accessing Microsoft Exchange server emails. Outlook also provides access contact, email calendar and task management features.
Apart from web-based emails like gmail.com, mail.yahoo.com etc., Microsoft Outlook can also be downloaded as a desktop application on your computer, which is also known as an email client. Through this, you can send and receive emails without using the internet, because Microsoft Outlook allows you to open your email using the Microsoft Outlook application instead of using an internet browser.
If you use a desktop email client, the email server sends you a copy of the message and stores it locally. Then when you are offline, you can still open and view recent emails that are stored locally, as well as view draft emails.
Before sending mail in Outlook 2013, we must have some message that what do you want to send to the other person, what information do you want to send, for this email connects you to people inside and outside your organization. You can add a digital signature and file to your email messages. But for this, first you should know how to create mail, so the process of creating mail is given below-
When you open Microsoft Outlook for the first time, you will be in your inbox.
1. Folder pane - Folder pane shows all your folders.
2. Message list - It lists your messages.
3. Reading pane - Reading pane shows your currently selected email.
4. Ribbon - Outlook has a ribbon similar to other Microsoft applications such as Word and Excel. You can click on each tab and navigate the ribbon to find various actions and settings.
5. Search box - Search box allows you to search emails based on keywords, sender, recipient, etc.
Composing a New Email
• To send an email, first click on the New Email button on the ribbon or press Ctrl + N, this will open a new window where you can write your email.
• After this, type the email id of the person to whom you want to send the email in the To box. You can send mail to any address like gmail, yahoo.
• In the Subject box, write the subject of the mail you are sending.
• After this, type the message you want to write in the Text area.
• Enter the email addresses or names of the recipients in the To, CC, BCC boxes. If you want to send mail to more than one person, then add different User Ids separated by comma (,).
• If you want to select recipients' names from the list in the Address Book, click To, CC, BCC, and then click the names you want.
• If you don't see the BCC box, follow these steps;
• To display the BCC box, click on Options, and then from the Show fields group, click on BCC.
• If you want to upload a photo, video or a document file, you can use the Document, image or Emoji buttons. Or click on Attach File to add a file.
• Tip: If you don't like the font or style of your mail, you can change it. You can also correct the spelling in your message before sending it.
• After writing your message, click Send.
The Recipient
There are three different ways to send a message to a recipient.
To - The recipient's id is entered in this field.
CC - CC stands for carbon copy, a term used back when paper copies were made using typewriters and carbon paper. It is typically used when the recipient needs to be aware of the information in the email but the message is not directly addressed to that person.
BCC - "BCC" stands for Blind Carbon Copy. This is a good field to use when you're sending an email to a very large group of people or when you want to keep people's information private. Keep in mind that if a recipient decides to reply all to an email, their reply will not go to anyone who was made private on the original email.
How to Receive Email in Outlook 2013
If you want to see your received messages in Microsoft Outlook, click on the Send / Receive tab in the ribbon bar. Then in the Send & Receive group, click on All folder Send / Receive. Or you can use the keyboard shortcut and press F9. Here you will see all the mails you have received.~ Thank You
